Google Drive Embed

Lets you display the content of a Google Drive folder on a page of your SchoolNow site.

This widget works the same as the File List widget, but instead of targeting a directory on the website, it targets a folder on Google drive.

  • This is a popular widget and recommended over the File List widget since it allows you to manage the docs via Google drive, and you won't have to log in to the website to make any changes.
  • Please note that any content displayed by this widget will not be indexed or searchable by search engines.
  • As additional items are added to Google Drive, the Google Drive Embed widget may need to be resized to show all of the items. You can do this by editing the widget and entering a size in the Height field. By default, the widget is set to a height of 200.
  • Any Google Drive folders that are embedded on a page are not searchable. We have found that Google does not index any embedded Google drives or documents linked to it.

Recommendation - If you use the Google Drive embed widget in conjunction with the Rows widget, we recommend not using anything smaller than the 1/4 x 3/4 or the 3/4 x 1/4 structures. This allows for correct spacing and a cleaner look for the Google Drive Embed widget.

How do I add this widget to a page?

  1. Click Edit Page
  2. Click either + Content or the Settings icon (down-facing caret), located to the right of Edit, where you will need to select either Insert above or Insert below.
  3. Choose the Google Drive Embed widget.
  4. Paste the unique ID you received from Google - see How do I get the URL of a Google folder and find its unique ID? below to find the unique ID of a Google drive folder.
  5. Additional fields can be found in the Settings tab. These will allow you to customize what the widget displays. The fields and their descriptions are listed below;
    • Display Type - Choose how the files will be displayed. You can choose between List or Grid.
    • Title - Enter a descriptive title for ADA compliance.
    • Height - Height of the widget.
  6. When done, click on the green Create button, and your Google Drive Embed widget will show up on the page.
  7. Make sure to click either the Publish or the Save Draft option just as you would when you're editing pages.

How do I get the URL of a Google folder and find its unique ID?

To get the URL for the folder, make sure to select the folder that you just created, click on the three vertical dots near the top of the window, and choose Get Link from the options given. On the window pop-up that will appear, make sure to share it with Anyone with the link and then click Copy Link. This will provide you with a public URL that looks similar to this: https://drive.google.com/drive/folders/1H12L_dOFKErKtKQp55xLFwvAjs4Mwv3bvd?usp=sharing (that's just an example link, of course).

For the Google Drive Embed widget, we only want the unique ID part of the URL. It's the part that is before the ?usp=sharing at the end. The unique ID from the example above would be: 1H12L_dOFKErKtKQp55xLFwvAjs4Mwv3bvd.

Please note - If you receive a 404 error after entering the Unique ID, check the settings for the folder in Google for Who has access. It should be set to Anyone with the link for General Access for the files to be shown.
