When you need to get news out quickly, you can reach out to your school community in a variety of ways, including voice, SMS text, email, web, and social media channels. Notifications can be used for more than just closings and delays. They can be used for academic achievement, reminding students or parents to register for an important event and just keeping your community apprised of what's happening at your school. 

In addition to the ability for you to broadcast district and school news to segmented user groups, Campus Suite's user-configurable preferences enable your users to determine the kinds of content they want to receive. You can even create, schedule and post messages from your mobile device.

How do I see a list of Notifications?
A list of notifications can be viewed by clicking on Notifications, which is located to the right of the Campus Suite logo at the top of the screen.

How do I add a new Notification in Campus Suite?

To add a notification, navigate to the dashboard and click on Notifications located to the right of the Campus Suite logo and click on New Message.

  1. Enter the information for the message, fields and their descriptions are listed below;
    • Message Name - Enter the title of the notification. 
    • Message Folder - If you have set up folders for the organization of notifications, select the folder that you would want the notification to be stored in. 
    • Message - Enter the notification message.
    • Message (URL) Link - This field will be deprecated.
    • Email to alert when sending is complete - Enter an email(s) to receive an email when the email is sent. 
  2. Verify that the message is not being used for marketing purposes by checking the box at the bottom of the Message Settings screen. 
  3. Select the List(s) that you would like the notification to be sent to. Note the number of recipients to the right of the list's title. Find also the number of emails, SMS texts and voice messages that have been subscribed to that list.
  4. Review and select the Channelsthat you would like the notification to be sent to. At least one channel must be selected for a notification to be sent out. 
    • Phone - Clicking Phone, you are given choices to record a voice message. Choose from three options:
      • Record your message via your computer microphone,
      • Receive a phone call that will allow you to record by dictating a message, 
      • Upload a prepared MP3 file. Please note that any MP3 files should not exceed 1MB in size.
    • Text/SMS - Clicking Text/SMS allows you to customize a 160 character SMS text message that the notification will send out.
    • Email - Clicking Email will allow you to edit the notification that will be received by those opting to receive emails. You can preview the email notification by clicking on Preview. If everything looks good, click Save.
    • Facebook - Clicking Facebook allows you to revise the Facebook post and select the Facebook page(s) that your post should appear. Set Facebook pages in Settings/Facebook Settings.
    • Facebook Messenger - Clicking Facebook Messenger will allow you to customize the message that will be sent via Messenger to those who have authorized your Facebook page(s). Keep in mind that users must pre-authorize any Facebook page to receive messages to their device.
    • Twitter - Clicking Twitter allows you to customize a 280 character Tweet to post to the Twitter account(s) that you previously added in Twitter Settings.
    • Website - Clicking Website allows you to push out a Website Alert to your district/school's website when you send out the notification. The notification will also be listed in the Alert module under the department(s) that it was saved to. Note - If the department you save the Alert to is the target of the Alert Banner of your website, the alert will appear at the top of your website during the time that is set in Start Date and Expiry Date
  5. After clicking Next, located at the bottom of the Channels screen, you will be taken to a screen where you can review the notification and make any necessary edits before clicking Send or Schedule

  • How and why would I create a folder?
    For organizational purposes, we recommend creating folders in Notifications so that you can group similarly themed notifications together. Examples of this would be; Weather Closures/Delays and Emergencies. To create a new folder, while in Notifications, click on the green +Folder in the upper right-hand corner, enter the folder's name and click Create.

    To move a notification to another folder, click the Folder icon to the right of the notification. Select the destination folder in the Message Folder menu, then click move.

    Note: Notifications cannot reside in multiple folders.

  • How do delete a folder?
    Navigate to the folder that you would like to delete and click the red Delete located in the upper right-hand corner.  Select the folder that you would like to move any messages out of the folder to, type in DELETE and finally click the Delete button.

    Note: Messages will be permanently deleted and cannot be recovered if they are not moved before the folder is deleted.

  • How do I edit a Notification?
    To edit a notification, click the Pencil icon to the right of the notification. This option is only available for those notifications that have a draft status and have not been sent.

  • How do I duplicate a Notification?
    You can duplicate a notification by clicking the Double Page icon to the right of the notification. Cloning an existing notification duplicates all of the settings of the original notification including; the message, who would be receiving it and the channels that it was sent to. These settings can be edited for the new notification.

  • How do I cancel a scheduled Notification?
    You can cancel a notification that has been scheduled or is still in the queue by clicking the Crossed Out Bell icon to the right of the notification.

    Note: Canceling a scheduled notification changes its status to Draft. A test message can be sent out by clicking the Bug icon to the right of the notification.

  • What do the different status levels mean?
    • Draft - Notification is in composition mode and has not yet been sent. A gray vertical bar will be to the left of the notification title.
    • Queued - Notification is scheduled to be sent out. A yellow vertical bar will be to the left of the notification's title.
    • Sending - Notification is in the process of being sent out. A yellow vertical bar will be to the left of the notification's title.
    • Complete - Notification has been sent out. A green vertical bar will be to the left of the notification's title.

Where can I find the progress of a Notification?

The progress of a notification can be found by clicking on the Chart icon to the right of a completed notification. This will display the number of queued and sent messages. Also the total number of errors and the time it took for the message to be sent.
